Our client in Cambridge, MA is looking for a full-time Human Resources Assistant to cover a leave of absence for 2-3 months.
Job Summary:
Reports to the Director of Human Resources & Central Operations and Human Resources Officer. Provides administrative assistance to the human resources functions. Duties will include but not limited to supporting the employment function with maintaining the recruitment management system, typing correspondences, and following up on required new hire paperwork and processing. Auditing files for compliance and following up on required documentation. Work collaboratively with Finance in maintaining the position control system. Track utilization, and assist with budget maintenance spreadsheet. Support various Committees and projects.

Required – College degree with a minimum of 3 to 5 years of strong administrative experience.

Preferred – Healthcare and human resources experience.Proven writing ability. Strong customer services skills, attention to detail, and demonstrated project management. Strong working knowledge of computer skills including Word, Excel, PowerPoint, and Publishing software. Proven ability to maintain confidentiality.

Duties and Responsibilities:

Assists Human Resources Officer with job posting and maintaining ASPIRE system.
Completes ALL HR correspondences including new hire and FMLA letters.
Ensures postings are posted to company website
Screens and forwards resumes to managers for reviewing.
Coordinates postings for external advertisements and job boards.
Updates on Boarding New Staff Orientation Manual with current information.
Coordinates CORI checks on new potential hires.
Responsible for verifying that all- staff new hire paperwork is complete and accurate. Follows up with manager and staff as needed.
Monitors and coordinates attendance at new staff orientation.
Tracks compliance and provides follow up to managers. Reports compliance quarterly.
Inform managers of 90-day evaluation and monitors compliance.
Prepare timely data changes and terminations notification
Assists in conducting references checks
Follows up with managers on missing documentation
Schedules and books appointments and meetings.
Consults with staff on questions about policies and procedures. Gives out general information on HR/Payroll policies and procedures.
Maintain New Staff Orientation electronic presentation.
Maintain and track CORE cards.
Supports Joint Council by providing administrative support on various projects and initiatives.
